Information on processing of personal data when holding competitions and surveys

 

Basic principles


Personal data are processed in compliance with the General Data Protection Regulation (Regulation (EU) 2016/679, hereinafter referred to also only as “GDPR”).

Data concerned

Personal data of a participant in competitions (contestant) and surveys (hereinafter referred to as a “participant”) processed by the CZSO include basic identification and contact data required to sign in (apply for a tender); usually they are the following ones:

  • name and surname of the participant
  • phone number of the participant
  • e-mail of the participant and (with regard to the type of the contest or survey) also other data, especially 
  • information about the participant's profession or professional activity  

Besides the contents of the communication it may be also

  • time when the communication with a participant took place 
  • IP address.

Registration to a contest or a survey is ensured either via websites of the CZSO or by using paper forms or electronic forms or through e-mail or by means of invitations to a public tender pursuant to the provision of the Section 27 of the Act No 134/2016 Sb, on public procurement, as amended.

Personal data of participants that we process come directly from the participants (i.e. it applies to data provided by them) or from persons who have registered them to a given contest or survey; moreover, some data are obtained by the CZSO itself (e.g. publicly accessible information about a profession or professional activity of a participant) or within communication with participants (e-mails).

Why do we need the data?

Personal data of a participant are processed primarily in order to

  • hold a particular competition or to carry out a survey.

In relation to that, the data will be used also: 

  • to keep records and fulfil contractual relationships of the CZSO properly 
  • for statistical purposes
  • to further develop services of the CZSO related to given competitions
  • to protect rights of the CZSO and third parties (e.g. other contractual partners), especially against illegal activities.

Further, personal data of a participant will be used by the CZSO to fulfil its legal duties, mainly pursuant to regulations that regulate keeping of accounts and taxes, invitations to public tenders, and regulations related to personal data protection.

Data obtained while making news (reporting) from events accompanying competitions or surveys (especially from winners announcements), including data about winners (also persons who were awarded a prize in a competition though have not ranked first are regarded as winners), will be adequately used to inform about the given competition or a survey or to promote next years (seasons) of competitions, especially on the websites of the CZSO or collaborating institutions and in the media reporting (news).

Why do we process the data?

The following is the legal basis for processing of personal data of participants:

  • their consent with participation in a competition or a survey
  • as for winners, it is the legitimate interest of the CZSO to conclude the competition or a survey and announce its results.

When your consent is the legal ground for the processing of personal data, you can withdraw such a consent at any time free of charge using the contacts above.

Furthermore

  • legitimate interests of the CZSO (which lie mainly in protection of its rights against illegal activities including IT security, processing for statistical purposes, further development of competitions of the CZSO, publishing of data within reporting about a competition or a survey, and promotion)
  • fulfilment of legal requirements (especially prevention of delictual activities, fulfilment of requirements pursuant to regulations about personal data protection (mainly the Act No 110/2019 Sb and GDPR, keeping of accounts to make entries about prizes handed over and related fulfilment of duties pursuant to tax regulations, etc.)).

For how long we need the data

A list of participants in a competition or a survey: for 4 years as a maximum (from a date when the event took place).

Information about the winners: for an indefinite period (for the purposes of archives of competitions and to organize next years of the competitions).

When a change occurs in the data provided by a participant, please, update information via the contacts below, preferably by e-mail: central@czso.cz.

How we process the data

Usually in an electronic way, in the relevant information system; documents (papers) may be also placed in files, e.g. in a system for storing of paper contracts.

Provision of data for the processing by participants is voluntary.

Without provision of certain data, participation in a competition or a survey will not be made possible; in some cases, the data are required by law, mainly by accountancy regulations.

Who else has access to your data?

Provided that there will be a jury deciding about the winner of a competition, data about participants of a competition will also be made accessible to the members of the jury. Reporting (news) about a competition or a survey may be published in a common range in the media and on the websites of the CZSO or collaborating institutions and therefore it will be available to everybody without restriction.
